Project Coordinator

Rockford University invites candidates for the position of Project Coordinator in the College of Professional and Extended learning (CPEL).  CPEL has three focus areas: Online/Professional credit and non-credit bearing programming, Business and Community Partnerships, and Career Placement for students and alumni.

The fulltime position manages the functions of Business and Community Partnerships and Online/Professional programming within CPEL by coordinating various projects from start to end. This includes external partnerships and event management, Rockford University (RU) inter-office communication, communication with partner organizations, marketing coordination for CPEL, and fiscal management.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Project coordination:
    • Implementation of partnerships with organizations that may include onboarding the partner organization, coordinating with Subject Matter Experts (SMEs) for content and delivery, regular support for partner organizations during project implementation, tracking and reporting project metrics, etc.
    • Event management for events such as the Business Summit, Workshops, Bootcamps, Seminars, etc.
    • Coordinate and oversee invoices for organizational partners, bill payment & expenditures, and SME compensation.
    • Make budgetary decisions.
    • Coordinate CPEL Marketing efforts, including social media campaigns, and track and report metrics.
    • Coordinate with RU offices/departments such as Student Administrative Services, Human Resources, Business Office, Academic Affairs, Marketing & Communications, Advancement as needed.
  • Responsible for Rockford University Skills Marketplace curriculum/programs, enrollments, and learner support.
  • Aid in creating and implementing an on-ground marketing strategy for professional programming.
  • Prospecting potential clients through research. Be a responsible point of contact for CPEL in initiating and cultivating external partnership prospects.
  • Maintain regular communication with RU offices/departments and external partners.
  • Represent RU in a professional manner in external meetings.
  • Supervise the CPEL Graduate Assistant and Career Connection functions in AVP’s (Business Innovation) absence.
  • Other duties as assigned. 

ESSENTIAL SKILLS/QUALIFICATIONS: 

  •  An independent self-starter – must be able to take initiative with minimal guidance.
  • Demonstrated accuracy, professionalism, and sense of urgency in responding to stakeholders.
  • Work within a team with a demonstrated focus on team success. Cultural fitness is a must.
  • Effective time management skills.
  • Proficiency in project management.
  • Familiarity with Internet-related technology and fluency with Office 365 suite.
  • Familiarity with various Social Media platforms and willingness to learn about social media campaigns.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills with various stakeholders.
  • Graphic design skills are a positive but not required.
  • Demonstrated knowledge, skills and abilities in working with faculty, staff, students, professional programming participants, and external stakeholders with diverse backgrounds including academic, socioeconomic, cultural, sexual orientation, and disabilities.

EDUCATION and/or EXPERIENCE:

  • Associate’s degree required; bachelor’s degree preferred.
  • Two or more years direct experience in project management/coordination is highly valued. Equivalent combination of education and/or experience will be considered.
  • Previous experience working within a team while coordinating projects is preferred.
  • The ability to demonstrate the skills required for this position is paramount.
