Marketing and Administrative Assistant

The Marketing and Administrative Assistant for the College of the Arts & Humanities who will act as a liaison between the college and Marketing and Communications. In collaboration with the college, this position facilitates marketing and social media marketing for theatre productions, gallery exhibits, the Forum Series, and other events hosted by the college. In addition, this person will oversee the daily Box Office operations, supervise student workers and assist the Dean of the College as needed. The ability to be available at times outside normal working hours for meetings and program events is essential (nights and weekends periodically).
Essential Duties and Responsibilities include, but are not limited to:
Promotional
- Work closely with the departments to create graphic pieces (programs, flyers, and posters) to advertise events.
- Maintain university branding in all promotional and in-house publications.
- Implement and maintain a social media plan for all events.
- Draft and oversee distribution of press/media releases in coordination with the Department of Marketing and Communications.
Box Office
- Oversee daily Box Office operations, which include but are not limited to: primary contact for the public in the building; answer phones, e-mails, etc.; processing single, season, and group ticket orders in a timely and accurate manner; ensure excellent service to patrons and volunteers; work with the computerized ticketing system; maintain audience records and records of ticket sales; reconcile receipts for all cash & check transactions and forward to the business office after every performance; and hire, train, and supervise all Box Office work-study students.
Gallery
- Create labels for all gallery shows and a price list for insurance coverage.
- Update and print semester gallery attendance requirement handout and gallery attendance cards.
- Enter data regarding gallery attendance and communicate it to faculty by the end of each semester.
Administrative Responsibilities
- Work collaboratively and cooperatively with all customers, faculty, staff and students regardless of background, identity, orientation, disability status, or any other feature.
- Create work orders, problem solve copier/printer problems; maintain office supplies; and collect and distribute mail and packages for faculty and staff in Clark Arts Center
- Attend monthly college meetings and produce their minutes.
- Serve as contact person for all theatrical licensing companies and secure rights for all productions.

Education and/or Experience:
- Bachelor’s Degree
- Management, customer service and/or supervisory experience
- Must be proficient in Word, Excel, and the Adobe Creative Suite
- Box Office experience preferred
