Education Department Specialist

Rockford University invites applicants for the position of Education Department Specialist.  The Specialist will coordinate and provide support across the Education Department. Reporting to the Education Department Chair, the person in this position will also support tasks for licensure and state compliance; graduate and undergraduate admission and advising; clinical experiences; and collaborations with community partners.

ESSENTIAL DUTIES AND RESPONSIBILITIES include (but not limited to) the following:

  • Maintaining detailed student information database using specialized software applications for clinical placement, tracking, and reporting purposes
  • Gathering, reviewing and maintaining reports, forms, records, supporting documentation, authorizations and other information needed in support of departmental business
  • Collaborating with the Department Chair to complete the State Annual Program Report (APR), pre-entitlement, and Title II Reports
  • Collaborating with the Department Chair and Directors of Programs to store, review, and analyze student data (content tests, EDTPA scores, etc.)
  • Supporting preparation, collection, and archive of department evidentiary accreditation/recognition documents and policy updates, including current agendas, minutes, and resultant documents of the annual Secondary Department Chairs Meeting
  • Generating accurate and timely reports required by department administrators
  • Processing forms, notices, licenses, identification and other documents required by department for licensure and accreditation
  • Maintaining detailed student records and files, ensuring that they are kept confidential, current and meet legal and reporting requirements
  • Maintaining department records and files that include clinical and student teaching placement data, course syllabi, course schedules, and other documents
  • Monitoring office supply needs and obtaining vendor quotes as needed
  • Coordinating events sponsored by the Education Department
  • Taking and submitting minutes for department meetings
  • Identify and participate in projects that enhance the efficiency of current processes within the department
  • Provide positive, courteous, professional interaction with persons making contact with the department. A high level of confidentiality and professionalism in interaction with students, staff, faculty, and the public is expected
  • Other duties related to licensure, accreditation, and department business as needed in collaboration with Chair

 QUALIFICATIONS: 

  • Strong organizational and time management skills.
  • High energy self-starter; must be able to take initiative with minimal guidance and be comfortable working both as an individual and as part of a team.
  • Ability to work effectively with diverse populations including academic, socioeconomic, cultural, sexual orientation, and disabilities.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to plan and evaluate programs.
  • Ability to gather data, compile information, and prepare reports.
  • Excellent interpersonal skills with various stakeholders.
  • Effective time management skills.
  • A high level of confidentiality and professionalism in interaction with students, staff, faculty, and the public is expected.
  • Ability to work independently is required; occasional evenings may be required.

EDUCATION and/or EXPERIENCE:

  • Bachelor’s degree or equivalent combination of education and experience. 
  • Three or more years of clerical and administrative support recommended. 
  • Experience with secondary and post-secondary student records, admissions, registration, confidentiality, and records management requirements and policies preferred.
  • A high level of proficiency in MS Office applications, specifically in Word and Excel, along with the ability to quickly learn new software applications is required.
  • Preference will be given to candidates with proficiency in PowerCampus (or other SIS Student Information System) and Canvas (or other LMS software).
